About FAWEMA

The Forum for African Women Educationalists in Malawi (FAWEMA) is a registered NGO established in 1993 to support and promote girls’ and women’s education in Malawi.

FAWEMA implements interventions across all 28 districts through its membership base and projects, working closely with the Ministry of Education and other stakeholders to promote education and training opportunities for girls and women.

Job overview

The Finance and Administration Manager will provide strategic and operational leadership to FAWEMA’s finance and administration functions, ensuring sound financial management, effective internal controls, compliance, budgeting, procurement and efficient organisational operations.

Key responsibilities

Finance Management

* Develop, review and update financial, procurement and administrative policies and procedures.

* Ensure compliance with organisational policies, procedures, statutory requirements and financial regulations.

* Establish and maintain effective internal control and financial management systems.

* Coordinate annual audits and follow up on audit recommendations and action points.

* Lead the preparation, approval and implementation of organisational budgets.

* Ensure effective budgetary control and financial monitoring.

* Develop and maintain sound financial reporting systems.

* Coordinate financial management with FAWEMA partners and funders.

* Ensure accurate recording, analysis and reporting of project accounts.

* Review project financial management systems and reports, with particular attention to financial performance and value for money.

* Prepare management reports, periodic financial statements and annual financial statements.

* Establish appropriate risk management arrangements and monitor their effectiveness.

Administration Management

* Oversee planning and coordination of administrative procedures and systems.

* Support recruitment and training of personnel.

* Oversee organisational procurement functions, including management of approved suppliers and service providers.

* Manage the organisation’s transport management system.

* Ensure operations comply with approved policies and procedures.

* Ensure a safe, secure and conducive working environment for staff.

* Oversee the safe custody and security of organisational assets and vital records.

* Maintain the fixed asset register, filing and archiving systems.

* Supervise and manage support staff.

Qualifications and experience

* Bachelor’s Degree in Accounting or Finance.

* Professional accountancy qualification such as ACCA is mandatory.

* At least 7 years’ experience in financial and administrative management.

* At least 3 years’ experience in a management position within an NGO or in overseeing donor programmes/grants management.

* Professional training in Administration and Human Resource Management is an added advantage.

* Experience designing and implementing financial management systems.

* Experience coordinating budgeting processes, managing budgets and monitoring administrative processes.

* Familiarity with QuickBooks, SAGE and Enterprise Resource Planning (ERP) systems is essential.

Remuneration

Remuneration will be commensurate with the FAWEMA salary structure.
