Context

Established in 2000, Mount Mulanje Conservation Trust supports the Department of Forestry, key local partner organisations and neighbouring village community groups to implement the ecological management priorities of the Mulanje Mountain Forest Reserve (MMFR).

MMCT also fosters the sustainable management of Mt Mulanje’s natural resources to achieve community, conservation and commerce goals that improve village life within the Mount Mulanje Biosphere Reserve.

MMCT is currently seeking a dynamic Assistant Accountant to assist in its Finance & Administration activities within the F & A department. Operating under agreements with the Department of Forestry and many partner agencies, MCT supports, facilitates and implements biodiversity conservation, environmental management and community development actions within the MMBR.

MMCT is undergoing a structured transition process of change to improve its organisational governance and management effectiveness, and the Assistant Accountant will play a crucial role in this ongoing process.

Position

This is a supervisory position.

The Assistant Accountant directly supervises and coordinates the following staff:

Gardeners.

Guards

Office Receptionist.

Office Cleaner.

Finance & Admin Intern.

Job Purpose

The Assistant Accountant is responsible for supporting the Finance and Administration Department in maintaining accurate financial records, ensuring timely processing of transactions, assisting in finandal reporting, budgeting, payroll processing, and compliance with statutory and organizational financial policies. The role ensures the integrity; accuracy, and timeliness of financial information to support effective dedsion-making

Key Responsibilities

Financial Record Management

Record, process, and maintain accurate financial transactions in the accounting system (QuickBooks)

Ensure accuracy and completeness of all accounting entries

Maintain proper filing and organization of financial documents

Accounts Payable and Receivable

Manage supplier and customer accounts

Reconcile accounts payable and accounts receivable regularly

Process invoices, payments, and receipts within agreed timelines

Bank and Cash Management

Prepare monthly bank reconcillations

Maintain and update cashbooks accurately and timely

Financial Reporting

Assist in preparation of monthly, quarterly, and annual financial statements and management reports

Support data preparation for financial analysis and decision-making

Budgeting and Financial Planning

Assist in preparation of annual budgets

Monitor expenditure against approved budgets and report variances

Payroll and Statutory Compliance

Process monthly payroll and generate payslips

Prepare statutory returns including PAYE, withholding tax, pensions, and other regulatory submissions

Ensure compliance with applicable financial laws, regulations, and internal policies

Audit Support

Provide required documentation during internal and external audits

Assist auditors in verifying financial records and transactions

Payment Processing

Ensure timely processing of payments in line with Standard Operating Procedures (SOPs)

Verify accuracy and authorization of payment requests

General Duties

Perform any other duties assigned by the Finance and Administration Manager

Qualifications, Competencies and Experience Required for the Position.

Degree in Accounting. Finance, or a related field

Minimum of 2-3 years relevant work experience on similar position

Proficiency in accounting software such as QuickBooks Online

Strong numerical, analytical, and problem-solving skills

High level of integrity, accuracy and attention to detail

Ability to work independently and under pressure with minimal supervision while maintaining high quality results

Team player, Self-motivated, and honest

Good communication and interpersonal skills

Part qualification in a professional accounting body (ICAM or ACCA) is an added advantage

A member of ICAM & MAB in good standing order

Proven strong human resource management skills; motivational and values driven.
