POSITION: FINANCE ASSISTANT-SONIA EIS TAX COMPLIANCE AND RECONCILIATION
Location: Lilongwe
BACKGROUND
C. Steinweg Bridge (Malawi) a leading player in the clearing, forwarding and logistics industry wishes to recruit a suitably qualified individual to fill the following existing vacancy which is tenable at it’s Lilongwe Head Office.
Position Description
Key Performance Area Detailed Outputs and Responsibilities
1. EIS Invoice Capture and
Submission
Capture and submit all applicable sales invoices on the MRA EIS portal accurately and timeously.
Ensure invoices are submitted within the prescribed statutory timeframes.
Verify invoice details before submission to minimise errors and rejected transactions.
Ensure that all mandatory invoice information is complete and accurate.
Monitor the status of submitted invoices and confirm successful processing.
2. EIS Reconciliation
Conduct daily and weekly reconciliations between invoices generated in the accounting system and invoices submitted through the EIS portal.
Identify missing, duplicated, rejected, or incorrectly processed invoices.
Investigate variances between accounting records and EIS records.
Prepare reconciliation reports and maintain evidence of completed reconciliations.
Escalate unresolved discrepancies to the appropriate Finance personnel.
3. Exception and Error
Management
Identify invoices that have failed or have not been successfully processed through EIS.
Investigate the reasons for unsuccessful submissions.
Coordinate with relevant Finance staff to correct invoice information and resubmit invoices where necessary.
Key Performance Area Detailed Outputs and RESPONSIBILITIES
Maintain a register of failed, rejected, and outstanding EIS transactions.
Follow up outstanding exceptions until they are resolved.
4. Data Quality and Compliance
Review invoice information for accuracy, completeness, and compliance with applicable tax requirements.
Follow up with Finance staff where invoice information is incomplete or incorrect.
Ensure that corrections are made promptly.
Maintain confidentiality and integrity of financial and tax information.
Keep abreast of changes to EIS procedures, tax requirements, and relevant MRA regulations.
5. Records and
Documentation
Maintain proper records of EIS submissions and supporting documentation.
Ensure that EIS reports, reconciliations, exception reports, and correspondence are properly filed.
Maintain an organised audit trail for all EIS transactions.
Provide supporting documentation during internal and external audits when required
6. Reporting
Prepare daily and weekly EIS submission and reconciliation reports.
Provide management with information on outstanding, rejected, and successfully processed invoices.
Report recurring errors and recommend corrective measures.
Assist management with monitoring the organisation’s EIS compliance position
7. Other
Perform any other reasonable tasks that may be assigned from time depending on business exigencies.
Required qualification and competencies
Minimum
Diploma or Degree in Accounting, Finance, Taxation, Business Administration, Commerce, or a related field.
Knowledge of accounting principles and financial transaction processing.
Practical knowledge of tax compliance and invoicing processes.
Computer literacy, particularly Microsoft Excel and accounting systems
Desirable
Professional accounting qualification or progress towards one, such as ACCA, CIMA, or equivalent.
Training or certification in taxation or tax compliance.
Experience working with MRA systems, EIS, or other electronic tax platforms. – Experience in accounting, finance, tax, revenue, or audit environment
