POSITION; INVENTORY CONTROL OFFICER

OVERVIEW
INTRODUCTION
The Central Medical Stores Trust (CMST) is responsible for Procurement, Warehousing, Sales and Distribution of adequate, affordable and approved and quality medicines and medical supplies to all public health facilities in Malawi. CMST is seeking to recruit transformative and visionary persons to support it to effectively fulfill its mandate across its establishments in Mzuzu, Lilongwe and Blantyre as follows:
INVENTORY CONTROL OFFICER
Job Title: Inventory Control Officer
Job Grade: MS5
Location: Lilongwe
Responsible to: Warehouse Manager (MS3)
No. of Positions: One (1)
Purpose of the Job
To supervise and coordinate all inventory control activities at the Trust, ensuring optimum inventory levels are maintained, inventory records are accurate, and timely replenishment actions are initiated.
Duties and Responsibilities
• Monitoring and controlling stock levels in the warehouse and initiating stock replenishment processes in a timely manner.
• Generating and sharing stock status reports with relevant stakeholders.
• Ensuring warehouse records are accurate, properly maintained and that all inventory transactions are captured in the ERP system.
• Ensuring that stock is stored in the correct locations and quantities through regular cycle counts.
• Ensuring that unusable and damaged stock is managed in accordance with approved SOPs.
• Investigating inventory variances and coordinating corrective actions.
• Coordinating and supervising stock control activities, including receiving, costing, storage and issuing of stock.
• Ensuring efficient use of warehouse space and effective inventory documentation.
• Verifying that stock cards and inventory records are maintained accurately and updated on time.
• Supporting procurement planning processes through inventory analysis and forecasting.
• Maintaining proper filing systems and ensuring timely retrievals of inventory documentation.
• Coordinating periodic stock-take exercises and physical inventory verification.
Job and Person Specifications
Qualifications
• Bachelor’s Degree in Supply Chain Management, Inventory Management, Warehouse Management, Logistics, Stock Control, or a related field from a recognised institution.
• Malawi School Certificate of Education (MSCE) or its equivalent, with credits in English, Mathematics and any two science subjects.
• A qualification in Pharmacy will be an added advantage.
Experience
• A minimum of three (3) years’ relevant experience in inventory control within a busy warehouse or FMCG environment.
Skills and Personal Attributes
• Strong numerical and analytical skills.
• Knowledge of data analysis, forecasting and inventory planning.
• Practical knowledge of inventory management systems and ERP applications.
• Excellent communication and interpersonal skills.
• High ethical standards and sound judgement.
• Leadership and team-working skills.
• Strong report-writing skills.
