ROLE OVERVIEW

As an Administrative Assistant at Urban and Rural Group Limited, you will play a crucial role in supporting day-to-day office operations, streamlining administrative logistics, managing schedules, and facilitating professional stakeholder communications across our diverse building, civil engineering, and rehabilitation project fields.

CORE RESPONSIBILITIES

  • Manage and organize office documentation, project files, technical drawings, and official records accurately.
  • Handle routine corporate correspondence, answer phone calls, and direct emails to the appropriate project teams.
  • Schedule and coordinate meetings, manage office calendars, and prepare clean agendas or minutes for project teams.
  • Greet site visitors, clients, subcontractors, and consultants with a professional and welcoming presence.
  • Monitor office supply inventories, handle procurement of basic stationeries, and oversee workplace logistics.
  • Assist with basic data entry, invoice sorting, tracking records, and coordinating files for the accounts team.
  • And any other duties assigned from time to time.

MINIMUM REQUIREMENTS

  • Minimum of a Diploma in Business Administration, Office Management, Secretarial Studies, or any related field.
  • At least 2 years of relevant professional experience working in a fast-paced corporate or office setup.
  • Exceptional computer literacy, specifically with extensive proficiency in Microsoft Word, Excel, and Outlook.
  • Strong organizational skills with an ability to manage multiple logistical assignments under minimal supervision.
  • Excellent interpersonal, clear oral, and professional written communication skills.
  • High level of integrity, punctuality, reliability, and strict attention to structural layout detail.
