BHUBESI PRIDE FOUNDATION – FINANCE AND ADMINISTRATIVE MANAGER
Location: Lilongwe (BPF Mtema Sports and Education Community Center, Pheleni Village – Mzumanzi)
Reporting to: Executive Director

Bhubesi Pride Foundation (BPF) is a local NGO empowering young people through inclusive sports, education, health, and mindset change programs. BPF is seeking a dynamic, values-driven, and highly competent Finance and Administrative Manager to strengthen its financial, administrative, HR, and operational systems.
Role Profile:
The Finance and Administrative Manager oversees day-to-day financial operations, human resources, and administrative functions. The role involves line management of the Finance and Administrative Assistant and 5 maintenance staff, conducting performance appraisals, and managing recruitment processes.
Main Roles and Responsibilities:
Financial Management
- Ensure financial transactions comply with established standards and procedures
- Maintain and update financial procedures; develop systems to meet program needs
- Prepare monthly financial reports and manage cash flow
- Produce monthly and quarterly financial forecasts
- Lead annual budgeting and planning process; monitor progress
- Prepare profit and loss statements, balance sheets, and cash flow reports
- Establish and maintain organized finance filing system
- Conduct internal quarterly audits
- Coordinate and supervise external audit processes
Administration and Facility Management
- Oversee administrative functions and facility management at BPF Mtema Center
- Supervise maintenance staff and ensure timely payments of subscriptions and licenses
- Manage facilities, assets, vehicles, and buildings
- Oversee sports kit inventory and establish effective management systems
Logistics and Procurement
- Manage procurement of goods and services, including obtaining quotes, stock management, and contract negotiation
- Oversee building maintenance and insurance matters
- Manage banking relationships, vendor accounts, and financial transactions
- Oversee logistical operations, fuel liquidation, travel arrangements, and vehicle fleet management
- Maintain an up-to-date asset register
Human Resource Management
- Oversee compensation, recruitment, performance appraisals, and staff training
- Develop and implement conditions of service in compliance with Malawi labor laws
- Manage performance of finance and maintenance staff
- Ensure compliance with Malawi laws (labor, tax)
- Maintain staff contracts, job descriptions, and HR filing system
- Conduct annual performance appraisals and improve recruitment processes
Qualifications, Skills, and Experience:
- Bachelor’s Degree in Finance or related field from an NCHE-accredited institution (Master’s degree an added advantage)
- Minimum 5 years’ experience in a similar finance and administrative management role in an NGO
- Practical knowledge of financial management in non-profit organizations
- Practical knowledge of human resource processes and systems
- Experience using QuickBooks Accounting Package
- Experience working with children and young people is an advantage
- Valid Malawi driving license
- High integrity, organization, leadership, and attention to detail
