POSITION: MINE CASHIER

JOB SUMMARY

We are seeking a highly skilled and experienced Mine Cashier to join our team at Mchenga Coal Mine Limited. He/she will be reporting directly to the Senior Accountant, with day-to-day functional coordination with the Mine Manager and HR Officer/Manager, the Mine Cashier manages on-site cash transactions, petty cash, payroll payouts, and commercial revenue collection across site operations (Mine Shop, Maize Mill/Huller, and Malasha Club).

Key Responsibilities

Cash Handling & Disbursements

Disburse approved wage payouts, salary advances, and petty cash requests upon verifying dual authorizations (HR and Senior Accountant).

Receive, count, and log daily cash revenues from Mine Shop, Maize Mill/Huller, and Malasha Club in line with company financial controls.

Reconcile daily cash on hand against safe balances and logs; report discrepancies immediately.

Prepare secure cash deposits for bank transit following site security protocols.

Reporting & Financial Administration

Compile daily sales and expenditure reports for commercial units.

Prepare monthly summaries on revenue, petty cash usage, wage disbursements, unclaimed wages, and salary advance reconciliations.

Generate monthly trading performance statements (revenue vs. expenses) for Mine Shop, Maize Mill, and Malasha Club.

Inventory & Stock Control

Conduct weekly stock counts and monthly formal stock-takes for Mine Shop and Malasha Club.

Cross-check physical inventory against sales logs to identify shrinkage, damage, or variance.

HR Liaison & Staff Mentorship

Coordinate with HR to process approved staff loan requests and verify eligibility before cash release.

Mentor junior cash office clerks, revenue collectors, and sales reps on accurate cash handling and reconciliation procedures.

Ad-Hoc Support

Perform additional financial administration and site-support tasks as assigned by the Senior Accountant or Mine Manager.

Role Requirements

Direct Supervisor: Senior Accountant

Functional Coordination: Mine Manager (Daily Site Operations), HR Officer (Payroll & Loans)

Skills & Competencies

Strong cash handling and reconciliation skills.

Knowledge of financial controls and reporting standards.

Integrity and confidentiality in handling sensitive transactions.

Proficiency in Microsoft Excel and accounting software.

Organizational ability to manage multiple revenue streams.

Mentorship and training capability for junior staff.

ATTRIBUTES

Minimum Certificate in Financial Accounting (CIFA), Business Management or Administration and Malawi School Certificate of Education (MSCE).

Minimum 2–3 years’ experience in cashiering, accounting, or financial administration.

Experience in inventory management and reconciliation.

Familiarity with payroll processes and staff loan administration.

High level of honesty, reliability, and attention to detail.

Excellent communication and interpersonal skills.

Integrity and ethical behavior, demonstrating a high level of confidentiality and professionalism.
