OVERVIEW
Habitat for Humanity Malawi (HFHM), an affiliate of Habitat for Humanity International, is a non-profit Christian organization committed to improving housing conditions in Malawi.
HFHM is seeking an Executive Assistant Intern to provide administrative, organizational, and coordination support to the National Director. The successful candidate will support the smooth operation of the executive office through effective communication management, scheduling, coordination, and administrative assistance.
The internship opportunity forms part of HFHM’s institutional strengthening and strategic realignment process under its Country Strategy (2025–2030), focusing on building better homes, transforming housing systems, and inspiring action through partnerships, innovation, and volunteerism.
KEY RESPONSIBILITIES
The Executive Assistant Intern will be responsible for:
Providing administrative and operational support to the National Director.
Managing communication between the National Director, employees, clients, and external stakeholders.
Coordinating and prioritizing activities to support executive priorities.
Managing the National Director’s calendar, meetings, and appointments.
Managing Board papers for submission to Trustees.
Coordinating travel arrangements, itineraries, logistics, and related requirements.
Preparing meeting agendas, taking minutes, and following up on action points.
Serving as a point of contact for partners, clients, and stakeholders.
Managing correspondence, information flow, emails, and communications.
Screening and directing phone calls and other communications.
Supporting internal and external meetings, events, and functions.
Maintaining confidentiality when handling sensitive information.
Performing other duties assigned by the National Director or Senior Management Team.
QUALIFICATIONS AND EXPERIENCE
Applicants should possess:
Minimum of a Diploma in Business Management or a related field.
Proven experience in executive assistance, personal assistance, or administrative support roles.
Advanced proficiency in Microsoft Office applications.
Familiarity with office technology, systems, and business applications.
Strong verbal and written communication skills.
Ability to maintain confidentiality and professionalism.
